COUNTY OF NEWELL - POLICY HANDBOOK
POLICY NO: 2014-PAD-070
TITLE: EMPLOYEE OWNED ELECTRONIC DEVICES
ADOPTED: SUPERCEDES NO: n/a
July 24, 2014 (C-251/14)
TO BE
REVIEWED: PAGE NO: 1 of 1
The County of Newell encourages employees to be accessible and connected during
periods when they may be away from the office. Recognizing that employees
utilize electronic devices for a broad range of activities that include work and
personal uses and that employees have an interest in using their own electronic
devices to ensure they remain connected with their work, this policy governs the
use and support of privately owned devices within the County’s IT Network.
Requests for connectivity of employee owned devices must first be approved by the
employee’s supervisor. Once approved a service request shall be submitted to the
County’s IT Department. The IT Department will review the request and the
technical issues involved with connecting the device to the network. If
customizations are required or additional technical training and support beyond the
“in house” capabilities of the IT Department are necessary, the request may be
declined. If the device is approved for connection to the County’s IT Network, the
support provided will be limited to readily available and easily deployed service
solutions.
Employees who desire to utilize personally owned electronic devices such as smart
phones or tablets that have been approved by both their supervisor and the IT
Department, may connect said devices to the County’s network. This connection
will be granted on the condition that the employee complies with all related policies
that the County may have in place, including but not limited to acceptable use,
backups, connectivity to and Network security requirements. The policies in
question will apply to the employee’s use of their personally owned electronic
device, in the same manner as they would be if the device in question had been
issued by the County of Newell.
Where the device is being used for email and internet use only the user must at
minimum ensure that the lock device has been set.
If a device has been lost or stolen the owner should immediately notify the IT Help
Desk so the appropriate actions can be taken to secure County data. Failure to
adhere to County policies regarding the use of these employee owned electronic
devices that are granted access to the County’s network, will result in the same
measures outlined in the County’s policies being applied to ensure that the County’s
IT Network is not compromised.
