HomeMy WebLinkAboutPOL-017-23 IT Server & System Maintenance COUNTY OF NEWELL - POLICY HANDBOOK POLICY NO: POL-017-23 TITLE: IT SERVER & SYSTEM MAINTENANCE ADOPTED: March 9, 2023 (C-71/23) SUPERCEDES NO: 2014-PAD-068 PAGE NO: 1 of 1 POLICY PURPOSE: The purpose of this policy is to establish the framework for delivering Information Technology (IT) Server and System Maintenance services. An effective server and system maintenance program is an essential aspect of the County’s requirements for the IT Network to achieve the desired service levels set for functionality and non-functionality. DEFINITIONS: IT Infrastructure Preventative Maintenance and Security Plan is a plan prepared by and for the IT Department and approved by the Executive Leadership Team that details the preventative maintenance tasks, security controls and backup retention schedules. The IT Department executes the plan annually to meet corporate expectations and legislated requirements. IT Server and System Maintenance is the process of keeping servers, firewalls, switches, wireless access points and related systems updated and running to ensure the computer network operates smoothly. Non-Functional Requirements describe how a system should behave, what limits there are on its functionality, and define system attributes such as security, reliability, performance, maintainability, scalability, and usability. Functional Requirements describe a particular behavior or function of the system when certain conditions are met, for example: “Send email when a new customer signs up”. POLICY GUIDELINES: The tasks and schedule for carrying out IT Server and System Maintenance activities shall be detailed in an IT Infrastructure Preventative Maintenance and Security Plan which should be updated annually to meet service level expectations and legislated requirements. ROLES & RESPONSIBLITIES: IT Staff:  Prepare, update, and execute the IT Infrastructure Preventative Maintenance and Security Plan.  Report deficiencies detected during maintenance to the Director of IT or their designate.  Initiate appropriate follow up measures which may include scheduled repair and or emergency replacement of the system component in question to ensure IT Infrastructure delivers the desired minimal level of Functional and Non-Functional Requirements. Executive Leadership Team:  Review and approve the IT Infrastructure Preventative Maintenance and Security Plan.  Document the desired minimal level of Functional and Non-Functional Requirements for IT infrastructure.
